Terms and Conditions

These Terms are written in plain English. They are designed to be understood, not buried. Please read them — they explain exactly what ZipFields does with your information and what you are agreeing to.

1. Welcome to ZipFields

ZipFields ("we", "us", or "our") is an online platform that helps you store your personal information once and use it to automatically fill in government and other official forms. By creating an account and using ZipFields, you agree to these Terms and Conditions regardless of where you are located.

If you do not agree with these Terms, please do not use ZipFields.

2. Who Can Use ZipFields

You must be at least 18 years of age to create a ZipFields account. If you are under 18, you must have the verified consent of a parent or legal guardian. By creating an account, you confirm that you meet this requirement.

ZipFields is available to users worldwide. By using our platform, you agree that these Terms — built to satisfy the strictest applicable privacy standards globally, including Canadian federal law (PIPEDA), Quebec Law 25, and the California Consumer Privacy Act (CCPA/CPRA) — govern your use of ZipFields regardless of your location.

3. What ZipFields Does

ZipFields provides two core services:

  • Free Form Population: We securely store your personal information and use it to automatically fill in commonly used government and official forms. This service is free.
  • Business Connections: With your explicit, prior approval, we allow registered businesses to request access to your stored information to pre-fill their own forms on your behalf.

4. Your Account

  • Provide accurate and truthful information about yourself
  • Keep your login credentials secure and not share them with anyone
  • Notify us immediately at hello@zipfields.com if you believe your account has been accessed without your permission
  • Accept responsibility for all activity that occurs under your account

5. How We Use Your Data — Complete and Honest Disclosure

By agreeing to these Terms, you consent to the following uses of your personal information. You may withdraw consent for any specific use at any time by contacting us or updating your account settings.

5a. Free Form Population

We use your stored data to automatically populate government and official forms on your behalf.

5b. Business Access — Always Your Choice

When a registered business requests access to your information, you will receive a notification and must explicitly approve that specific request before any data is shared. You can revoke any business's access at any time from your dashboard.

5c. Aggregate and Anonymized Data

We may produce and share statistical insights derived from our user base that cannot identify any individual. No personal information is included in these reports.

5d. Targeted Lead Generation

With your consent, we may allow businesses to reach users who match certain anonymized profile characteristics. You will always be notified first and may choose whether to respond. We do not sell your contact information directly to businesses.

5e. Affiliate and Referral Partnerships

ZipFields may earn a referral fee when you click on a clearly identified partner offer and complete a transaction. You are never required to click on or accept any partner offer.

5f. ZipFields Profile Match

We offer businesses a service that confirms whether information provided by a person is internally consistent across multiple self-reported documents in their ZipFields profile. This is not identity verification against government databases.

5g. Triggered Marketing

With your consent, ZipFields may notify relevant businesses when a time-sensitive event occurs in your profile such as an upcoming document expiry. You can opt out at any time.

5h. Government and Non-Profit Partnerships

ZipFields may enter into agreements with government agencies or non-profit organizations to assist with form completion services.

5i. Financial Pre-Qualification

With your explicit consent, ZipFields may share your self-reported profile information with financial institutions to help pre-qualify you for financial products. Any pre-qualification is based entirely on information you have provided and is not independently verified by ZipFields.

5j. API Access

Registered businesses and approved integration partners may access ZipFields data through a programming interface (API). All API access requires the same explicit user consent as any other access method. API partners must agree to ZipFields API Terms and are prohibited from storing, reselling, or misusing any data obtained through the API.

6. What We Will Never Do

These are absolute promises, not subject to exceptions.
  • We will never sell your raw personal data — your name, government ID numbers, banking details, health information, or contact information — directly to any third party without your explicit, specific consent.
  • We will never share your data with any business that has not been properly registered and approved on our platform.
  • We will never use your data in any way not described in these Terms without first updating these Terms and notifying you directly by email.
  • We will never deny you service or treat you differently because you exercised any of your privacy rights.

7. Your Right to Opt Out of Data Sharing

You have the right to opt out of the following at any time, without any penalty:

  • The sale or sharing of your personal information for targeted advertising or lead generation
  • Triggered marketing notifications to businesses
  • Financial pre-qualification data sharing
  • Affiliate and referral partnership data use

To opt out, visit your account settings or contact us at hello@zipfields.com. We will process your request within 15 business days.

California residents: You may also opt out by clicking "Do Not Sell or Share My Personal Information" in the footer of our website.

8. Security

ZipFields protects your data using enterprise-level security standards. Your information is encrypted, securely stored, and continuously monitored. For full details please see our Security Policy.

9. Your Privacy Rights

Regardless of where you are located, ZipFields recognizes and will honor the following rights:

  • Right to Access: Request a copy of all personal information we hold about you.
  • Right to Correct: Request correction of any inaccurate information.
  • Right to Delete: Request deletion of your account and all associated data within 30 days.
  • Right to Data Portability: Receive your data in a structured, machine-readable format.
  • Right to Withdraw Consent: Withdraw consent for any specific use at any time.
  • Right to Opt Out: Opt out of the sale or sharing of your personal information at any time.
  • Right to Non-Discrimination: We will never treat you differently for exercising your privacy rights.

10. Data Retention

We retain your personal information for as long as your account is active. If you delete your account, we will delete or permanently anonymize your personal information within 30 days, except where required by law.

11. Business Users

  • You will only request user data for legitimate, lawful business purposes
  • You will not store, resell, transfer, or misuse any data shared with you through ZipFields
  • You will comply with all privacy laws applicable in the jurisdictions where you operate
  • You accept full liability for any misuse of data obtained through our platform
  • If you access ZipFields through our API, you agree to our API Terms and acknowledge that your access may be revoked if you violate these Terms

12. Disclaimer

ZipFields is a data storage and form-population tool. We are not a government agency, legal advisor, financial advisor, or identity verification service. Always review your forms carefully before submitting them.

13. Changes to These Terms

If we make a material change, we will notify you by email at least 30 days before the change takes effect. Your continued use of ZipFields after a change takes effect means you accept the updated Terms.

14. Governing Law

These Terms are governed by the laws applicable in your jurisdiction of residence. Ontario, Canada law applies as the default where no other jurisdiction's mandatory law applies.
